Job Description

LHH is currently hiring for an Administrative Assistant - Leasing role for our client in Montgomery County, MD. The role is onsite (5x per week). This position will be responsible for supporting a group of leasing/legal professionals with a wide range of administrative support, communication coordination, documentation management, and calendar/scheduling.

Responsibilities:

  • Schedule meetings and coordinate schedules with clients and professionals, ensuring timely preparation of support materials.
  • Update lease tracking reports, net effective rent sheets, tracking logs, and monthly closed deal reports.
  • Maintain and modify master lease documents in coordination with legal, property management, construction, and insurance teams.
  • Process tenant-executed commencement and estoppel agreements with the legal department.
  • Distribute tenant inquiries and general correspondence.
  • Distribute fully executed lease documents, submit management committee memorandums and lease analysis, and upload documents for scanning and filing.
  • Coordinate with property managers to obtain updated rates for parking, after-hours HVAC, etc., post-annual budgets.
  • Compile and prepare reports and materials for internal and external meetings.
  • Manage electronic file maintenance and tracking of all department documents, agreements, licenses, policies, and procedures.
  • Provide additional administrative support as assigned.

Required Experience:

  • 5+ years of relevant experience or equivalent combination of education and experience.
  • Legal or commercial lease experience highly preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, Adobe Illustrator.
