Job Description

Our local KC client is seeking an Executive Assistant/Office Manager to support their Fulfillment & Production leadership personnel. Primary Expectations:

  • Provide day-to-day administrative support to the VP of Fulfillment & Production and the Director of Fulfillment
  • Manage multiple complex calendars — prioritize meetings, color-code schedules, and make timely adjustments
  • Track open action items and follow-ups to ensure nothing slips through the cracks
  • Coordinate all travel for 6–8 team members, typically 3–4 trips/month (flights, hotels, rental cars, and itineraries)
  • Serve as the front desk point of contact — greet visitors and assist team members throughout the day
  • Plan and prepare meetings — send agendas, take notes, and share follow-up items
  • Support internal and external events including giveaways, team huddles, etc.
  • Oversee day-to-day office needs — supplies, vendor coordination, breakroom, badge creation, and safety records
  • Assist with onboarding and training — help facilitate orientations, promotions, and ongoing development
  • Collaborate with and help manage remote admin team members and training staff
  • Keep shared systems and files organized — update SOPs, safety info, and team resources
  • Partner with other office managers to align on cross-department initiatives
  • Take ownership of the role — identify improvements, speak up with ideas, and help leaders stay on track

Qualifications:

  • 4–6 years of Executive Assistant and/or Office Management experience
  • Strong experience in calendar management, travel coordination, and internal communication
  • Bachelor’s Degree or equivalent combination of education and experience preferred
  • Excellent verbal and written communication skills; confident communicator with strong interpersonal presence
  • Highly organized, detail-oriented, and self-motivated with the ability to manage multiple priorities
  • Comfortable in a fast-paced, deadline-driven environment; flexible and willing to pivot as needed
  • Comfortable working onsite full-time and interacting with leadership, vendors, and cross-functional teams
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook)
  • Experience with Monday.com, Smartsheets, OneNote, and Tableau a plus
